Original shift date

Original shift time
Start and end time of the shift, so cover stays equivalent to the original.

Swap type
Mark whether it is a two-way swap or one-way coverage, so the record is clear.

How to track shift swaps in Excel
The request → accept → approve → finalise process in four steps
1. Log the request
In a new row, record the original employee, the shift date and time, and whether they want a two-way swap or one-way coverage.
2. Record who accepts
Add the replacement employee once a qualified coworker agrees to take the shift — use a data-validation dropdown of staff names to avoid typos.
3. Get manager approval
A manager checks skills, overtime and award compliance, then sets the status to Approved and adds their name in the approver column.
4. Finalise and notify
Update your main roster to reflect the change and let both staff know. Use conditional formatting to highlight any rows still pending.
