This payslip template lays out the fields required by Fair Work Regulations 2009 reg 3.46 and is a general tool only — not legal, financial or tax advice. It totals the figures you enter; it does not determine award coverage, pay rates, PAYG withholding or superannuation, and using it does not by itself make a pay slip correct. The amounts remain the employer's responsibility. Verify your obligations with Fair Work and the ATO. What's in this template

Grouped by the subregulation each field satisfies

Employer name and ABN

Both required — reg 3.46(1)(a) and (h). The ABN has been mandatory on every pay slip since 1 January 2010, with the employer's address as the fallback where there is no ABN.

Employee name

Required by reg 3.46(1)(b), with an optional classification field so award-covered staff can see the level they were paid at.

Pay period and date paid

Two separate requirements under reg 3.46(1)(c) and (d) — the date the money landed is not the same as the period end, and conflating them is a common error.

Ordinary rate, hours and amount

Reg 3.46(3) wants all three for hourly-paid staff, not just a total. The amount column is a formula so it follows the rate and hours you enter.

Six itemisation rows

Pre-formatted blank lines for penalty rates, overtime, loadings, allowances and bonuses, because reg 3.46(1)(g) requires each to be separately identifiable.

Deductions with destinations

An amount column and a fund-or-account column side by side — reg 3.46(2) requires both, and the second is the one usually left off.

Gross and net formulas

Gross sums the earnings block, net subtracts total deductions. Reg 3.46(1)(e) and (f). Add or delete rows and the totals still hold.

Super amount and fund

Reg 3.46(5) asks for the contribution and the fund name together, with the reg 3.46(5A) first-pay-slip exception noted on the sheet.

Optional extras, clearly marked

Year-to-date totals and leave balances sit in their own block labelled as NOT required by reg 3.46, so you can keep or delete them knowingly.

How to use the payslip template

Four steps, then issue within one working day

1. Download and duplicate

Save one copy per employee per pay period, or duplicate the sheet inside a single workbook. Keep the regulation labels — they are how you check the pay slip is complete.

2. Enter the ordinary hours

Put the ordinary hourly rate and the hours worked at it in their columns; the amount calculates itself. For salaried staff, use the annual rate field instead, per reg 3.46(4).

3. Itemise everything else

Give each penalty rate, allowance, loading and bonus its own line. This is the requirement most pay slips fail, and it is also what lets an employee check their own pay.

4. Issue within one working day

Section 536 of the Fair Work Act gives you one working day from paying the employee, in electronic form or hard copy. Export to PDF, or use the online generator to skip the spreadsheet entirely.

  • Yes, and the totals will follow. Gross sums the earnings block and net subtracts total deductions, so inserting a row inside either block is picked up automatically. If you add rows below the last line of a block, check the SUM range still covers them.

  • Because those labels are the point. Most free payslip templates look tidy and quietly omit a required field — commonly the ABN, the hours behind an hourly rate, or the superannuation fund name. Labelling each field with its subregulation means you can audit a completed pay slip in about ten seconds without looking anything up.
