How to draft an invoice (step-by-step)
Follow these 11 steps to create a professional, compliant invoice for Australian businesses.
Note: The following information is general in nature and provided for educational purposes only. It does not account for your specific circumstances.
Choose the right invoice type
If you're registered for GST, you generally must issue a tax invoice for sales over $82.50 (inc GST). Tax invoices generally include the words "Tax Invoice" and show GST amounts separately. Learn more about ATO tax invoice requirements.
If you're not registered for GST, use a regular invoice (sometimes called a "recipient-created tax invoice" or RCTI in specific cases).
Gather the info before you start
Have ready:
- Your business name and ABN
- Your business address and contact details
- Client's name and address
- Description of goods or services provided
- Quantities, unit prices, and totals
- Payment terms (e.g., Net 30 days)
- Bank account details for payment
Pick a format
Use a template, generator (like this one), or accounting software. Consistency matters—use the same template for all invoices to maintain a professional brand image.
Templates should include your logo, business colors, and be clear and easy to read.
Create a unique invoice number
Every invoice needs a unique identifier. Common formats:
- Sequential: INV-001, INV-002, INV-003...
- Date-based: 2026-01-001, 2026-01-002...
- Client-based: ABC-001, ABC-002 (for client ABC)
Never reuse invoice numbers. Keep them in order so you can track payments and identify missing invoices.
Build the header
At the top of your invoice, include:
- Your business logo (optional but professional)
- The word "INVOICE" or "TAX INVOICE" in large, clear text
- Invoice number
- Invoice date
- Due date or payment terms
Add seller + buyer details
Seller (your business):
- Business name
- ABN (required for tax invoices)
- Address, email, phone
Buyer (client):
- Client name or business name
- Address
- Contact details (optional but helpful)
Itemize what you're charging for
List each product or service with:
- Description: Clear and specific (e.g., "Web design consultation - 3 hours")
- Quantity: Number of units, hours, or items
- Unit price: Price per unit (e.g., $100/hour)
- Line total: Quantity × Unit price
Avoid vague descriptions like "Services rendered"—be specific so clients know exactly what they're paying for. If you're billing for staff time, consider using a shift cost calculator to ensure you're covering your labour costs.
Calculate totals (and GST if applicable)
Show the breakdown clearly:
- Subtotal: Sum of all line items
- GST (10%): Only if you're GST-registered and issuing a tax invoice
- Total: Subtotal + GST
For tax invoices, GST must be shown separately. The ATO requires this for businesses to claim input tax credits.
Add payment instructions
Make it easy for clients to pay you. Include:
- Bank name
- BSB and account number
- Account name
- Payment reference (e.g., invoice number)
- Alternative payment methods if applicable (PayPal, Stripe, etc.)
Clear payment instructions reduce delays and payment errors.
Send it professionally
Save your invoice as a PDF (not Word or Excel) to ensure formatting stays consistent across devices.
Email it to your client with a brief, professional message:
Subject: Invoice #INV-001 for [Project Name]
Hi [Client Name],
Please find attached invoice #INV-001 for [services/products]. Payment is due by [due date]. If you have any questions, feel free to reach out.
Thank you!
Track, follow up, and store records
Keep a copy of every invoice you send. You must retain tax invoices for 5 years (ATO record keeping requirement).
Track payment status:
- Unpaid: Send a friendly reminder a few days before the due date
- Overdue: Follow up promptly with a polite email or phone call
- Paid: Mark as paid and thank the client
Use accounting software or a simple spreadsheet to track invoice status. Late payments hurt cash flow—stay on top of follow-ups. For service businesses billing clients for staff time, consider rostering software that tracks hours and integrates with accounting systems like Xero and MYOB.
Essential info to include on your invoice
Business details
Your business name, address, email, and phone number so clients know who to pay and contact.
Tax identity (ABN)
Your ABN is mandatory for tax invoices. Without it, clients may withhold tax at the top rate. Check your ABN details on the Australian Business Register.
Unique invoice number
Sequential or date-based numbering helps you and your client track payments and identify specific invoices.
Client information
Client name, address, and contact details. This shows who the invoice is for and confirms delivery.
Line items
Itemized list with descriptions, quantities, unit prices, and totals. Be specific—vague descriptions cause disputes. For service businesses, ensure your rates cover employee costs.
GST breakdown
For tax invoices, show GST separately. Required by the ATO for input tax credit claims. Learn more about GST for businesses.
Payment terms
State when payment is due (e.g., "Net 30 days" or "Due on receipt"). Clear terms reduce late payments.
Payment details
Bank account details (BSB, account number, account name) so clients know where to send payment.
Common invoice mistakes to avoid
Missing ABN
Without an ABN, clients may withhold tax at the top marginal rate (up to 47%). Always include your ABN on every invoice.
Vague descriptions
"Services rendered" or "Consulting" isn't specific enough. Use clear descriptions like "Website redesign consultation - 5 hours at $120/hr".
No due date
If you don't specify when payment is due, clients may pay on their own schedule (or not at all). Always state clear payment terms.
Incorrect GST calculation
If you're GST-registered, GST must be 10% of the subtotal and shown separately. Incorrect GST can cause ATO compliance issues.
Reusing invoice numbers
Every invoice must have a unique number. Duplicate numbers confuse accounting systems and make tracking payments difficult.
Simple invoice template (copy and fill in)
Use this basic text template if you need a quick invoice format. Just replace the [bracketed] sections with your details.
