Viewing your own leave balance in RosterElf

You don’t need to ask your manager to find out how much leave you have. As a staff member, you can check your own leave balance directly in RosterElf from the My Calendar tab. This guide explains where to find your balance and how it is kept up to date when your account is connected to payroll.

Quick answer

Go to My CalendarLeave to see your current leave balance. From the same place you can also request leave and review past requests.

1. View your leave balance

1.1 Click the My Calendar tab in the navigation.

1.2 Open the Leave area - this is the same screen you use to request leave.

1.3 Your available leave balance is displayed alongside your pending and approved leave requests.

Note: Employees only have access to the My Calendar tab. Managers and admins can also view staff balances when managing leave on behalf of staff.

2. Understanding your balance

Your leave balance reflects the entitlements you have accrued, based on your employment type and payroll setup. A few things are worth knowing:

  • Xero-connected accounts: balances sync from Xero and update after each pay run is processed, so a very recent shift or leave request may not appear immediately.
  • Employment type matters: casual employees generally do not accrue paid annual or personal leave, so no balance is shown.
  • Official figures: for a definitive balance at a point in time, your manager can confirm against payroll.

1. Can staff see their own leave balance in RosterElf?

Yes. Staff can view their own leave balance from the My Calendar tab under Leave. You do not need manager or admin access to see your own balance.

2. Where do I find my leave balance?

Go to the My Calendar tab and open the Leave area. Your available balance is shown alongside your leave requests. From the same place you can request leave.

3. Why does my leave balance look out of date?

If your account is connected to Xero, leave balances sync from your payroll system and update after each pay run is processed. A recent shift or leave request may not be reflected until payroll has been finalised. If a balance still looks wrong, contact your manager.

4. Why can’t I see a leave balance at all?

Leave balances rely on your employment type and payroll setup. Casual employees generally do not accrue paid annual or personal leave, so no balance is shown. If you are a permanent employee and see no balance, your manager or admin may still be setting up your leave entitlements - check with them.

5. Is the balance I see the same as my Xero balance?

When RosterElf is integrated with Xero, the balance shown reflects the entitlements synced from Xero as at the last completed pay run. For the official, up-to-the-minute figure, your manager can confirm against payroll.
