These leave and attendance policy templates reflect Australian workplace standards, the National Employment Standards and Fair Work principles at the time of publication, and are provided as a general guide to adapt for your business. Entitlements can vary by modern award, enterprise agreement or state law — long service leave in particular. It does not constitute legal, HR, or professional advice and should not be relied on as a substitute for advice specific to your business, workforce, or circumstances.

What are leave & attendance HR policies?

Leave and attendance policies set clear rules for managing employee time off and day-to-day attendance. They cover entitlements like annual leave and personal leave, how staff request and notify absences, and how you record hours worked for accurate payroll.

These policies balance the National Employment Standards minimums with the operational attendance rules your business needs. Essential across hospitality, retail, healthcare and shift-based workplaces, they reduce disputes and ensure fair, consistent treatment. Start with the leave policy overview, then layer in specific policies as your team grows.

Managing it all is easier with leave management software that tracks accruals, approves requests and stores acknowledgements in one place.

Why these policies matter

Well-defined leave and attendance policies reduce confusion, prevent disputes and make sure employees understand both their entitlements and their obligations. When the rules are written down and applied consistently, managers spend less time on one-off decisions and staff are treated fairly.

Clear policies also protect your business by demonstrating compliance with the National Employment Standards, modern awards and state-based legislation — especially long service leave, which differs in every state. For the supporting detail, see our employment law guides and the National Employment Standards glossary entry.

FAQ

Leave & attendance policies FAQ

  • At a minimum, cover the leave types in the National Employment Standards — annual leave, personal/carer’s leave, parental leave, compassionate leave, family & domestic violence leave and long service leave — plus an attendance and timekeeping policy. Start with our leave policy overview, then add specific policies like the annual leave policy as needed.

  • Full-time employees get 4 weeks (20 days) per year, and part-time employees accrue pro-rata. Some shift workers receive 5 weeks under their award. Our annual leave policy covers accrual, requests and approvals.

  • Personal leave covers both sick leave and carer’s leave. Full-time employees accrue 10 days per year to use when ill or caring for an immediate family member. Our personal leave policy explains entitlements and evidence requirements.

  • No — casual employees receive casual loading instead of paid leave. However, long-term casuals may be eligible for unpaid parental leave and, in some states, long service leave.
