1. Basic staff permissions

When adding a new user to RosterElf, they begin with basic staff permissions. These include access to view shifts, receive notifications, and update their availability and personal details. This section explains the starting point for all users and the actions they can perform with basic access.

1.1 understanding basic staff access

1.1.1 New users start with regular Staff permissions.

1.1.2 They can view shifts and receive notifications.

1.1.3 Staff can update personal information, such as email and phone number.

1.1.4 Basic staff cannot manage or alter any settings beyond their profile.

2. Elevated permission levels

Above basic Staff access, RosterElf has an account Owner plus three elevated permission levels: Admin, Manager, and Assistant Manager. These levels provide greater control and access to various parts of the platform. This section describes each level, their distinctions, and how they apply to different parts of your account.

2.1 the account owner

2.1.1 Every RosterElf account has exactly one Owner — typically whoever created the account or is the primary billing contact.

2.1.2 The Owner has every operational permission an Admin has (staff, sites, payroll, settings), plus two capabilities no Admin has.

2.1.3 Only the Owner can access and manage the account's billing and subscription details.

2.1.4 Only the Owner can enable HR Hub for the account — Admins cannot turn it on, though once enabled, Admins have full access to it (see the HR Hub row below).

2.2 admin permissions

2.2.1 Admins have access across the entire account.

2.2.2 They can manage users, settings, and account-wide configurations.

2.2.3 Admin permissions apply uniformly to all sites within the account.

2.3 manager and assistant manager permissions

2.3.1 Managers and Assistant Managers have access limited to specific sites.

2.3.2 A user can be assigned these roles at one or more selected sites.

2.3.3 Managers can view financial data related to rostering, unlike Assistant Managers.

2.3.4 If a user is not assigned as a Manager or Assistant Manager for a site, they hold basic Staff permissions there.

2.3.5 Managers and Assistant Managers can only view and manage their own HR Hub records (certificates, permits, onboarding). Viewing or managing another staff member's HR Hub records is Admin-only.

3. Managing staff permissions

Managing permissions effectively ensures that users have appropriate access to perform their duties. RosterElf provides multiple ways to manage permissions, depending on your needs. This section outlines how to assign and adjust permissions through the Sites tab, Settings dropdown, and Staff tab.

3.1 assign managers via sites tab

3.1.1 Go to the Sites tab to manage Manager and Assistant Manager roles.

6. How do I assign the Admin role to someone in RosterElf?

Go to the Settings dropdown and click Permissions, then click the Plus (+) button, choose the staff member, and click Update to grant them Admin access.

7. Do admins and managers count toward my RosterElf bill?

Yes. All users in RosterElf — regardless of their permission level — are staff members and count as active users for billing. Admins and managers are not free seats on top of your staff count.

8. What is the Owner role and how is it different from Admin?

The Owner is the one account-wide role above Admin — typically whoever created the account or is the primary billing contact. The Owner has every permission an Admin has, plus two that Admins don't: only the Owner can access and manage billing/subscription details, and only the Owner can enable HR Hub for the account.

9. Who can enable HR Hub for my account?

Only the account Owner can enable HR Hub — Admins cannot turn it on themselves, even though Admin permission alone would otherwise be enough. Once HR Hub is enabled, Admins have full access to it, as shown in the permission matrix above.

10. Can a Manager view or manage another staff member's HR Hub records?

No. Managers and Assistant Managers can only view and manage their own certificates, permits and onboarding in HR Hub. Viewing or updating another staff member's HR Hub records is Admin-only.

11. Can Basic Staff log into the Time Clock app?

No. Only the Owner, Admins, Managers and Assistant Managers can log into the Time Clock app with their own account. Regular Staff clock in and out using a site's shared Time Clock device instead — see the Time Clock login guide.

12. What if I want to add my accountant or bookkeeper?

RosterElf has a separate, free My Accountant role for this — a single accountant, bookkeeper or advisor gets admin-level view access at no cost and doesn't count toward your billing. See add accountant or bookkeeper access to RosterElf.

13. How do I change the account Owner if they've left the business?

Only the current Owner profile can reassign the Owner role, so this isn't a self-service change in most cases where the original Owner is no longer available. We need to verify the current Owner first, using either (1) contact from the current Owner themselves — their listed email address or a phone call — confirming the transfer, or (2) a current ASIC company extract naming the current director. 14. Does the new Owner inherit the previous Owner's records?

Yes. Changing the account Owner updates the existing Owner's staff card and account with the new person's details — it's the same underlying account, not a new one. The new Owner takes over all of the previous Owner's historical records, including past rosters, timesheets, and any HR Hub documents tied to that account.
