What's in this template

A week of hours that adds itself up

Monday to Sunday

Seven day rows in the order New Zealand weeks are counted, matching how rosters and pay periods are usually set.

Start and finish times

Enter times as 9:00 and 17:30. The sheet converts to decimal hours, which is what payroll wants.

A meal break column, not a break column

Pre-filled at 30 minutes and deducted. The 10-minute paid rest breaks are working time and deliberately stay in.

Paid hours per day

Finish minus start minus the unpaid meal break, calculated per row and totalled for the week.

Sign-off lines

Employee confirms, manager signs. An unapproved timesheet is much weaker evidence if the hours are ever disputed.

Built for the record you must keep

Hours worked each day is exactly what the Employment Relations Act 2000 wage and time record calls for.

How a week is recorded

Enter the times actually worked, not the times on the roster. The meal break is deducted, so a 9:00–17:30 day with a 30-minute unpaid meal break is 8.0 paid hours, not 8.5.

The 15 minutes before opening on Thursday is working time and it is on the sheet. Unrecorded time like that is the most common route to an accidental minimum wage shortfall — it is real work, it is rarely written down, and it is invisible in a timesheet copied from the roster.

How to fill in the weekly timesheet

Four steps, once a week

1. Set the header

Employee name and the Monday the week starts on. One sheet per person per week.

2. Enter actual times

Start and finish as they happened, to the nearest five minutes. Rounding only in the employer's favour is how shortfalls accumulate.

3. Record the unpaid meal break

Only if it was genuinely uninterrupted. If they stayed on the floor or answered the phone it was not a break, and it is paid.

4. Approve it weekly

Employee confirms, manager signs. Approve weekly, not monthly — nobody accurately remembers a Tuesday three weeks ago.

Weekly timesheet FAQ

  • Subtract start from finish and multiply by 24 to get decimal hours: =(C2-B2)*24. Deduct the meal break the same way. Format the time cells as hh:mm and the result as a number, or Excel shows you a time instead of a quantity. For a shift crossing midnight use =(C2-B2+(C2<B2))*24. The template has all of this built in.

  • Enter times as hh:mm because that is how people read a clock, and let the sheet convert to decimals for the total. Payroll almost always wants decimal hours — 7 hours 45 minutes is 7.75, not 7.45, and typing 7.45 is one of the most common payroll errors there is.

  • If you round at all, round to the nearest five or ten minutes in both directions. Rounding down consistently means some hours are worked and not paid, and minimum wage has to be met for every hour actually worked.

  • Yes. Upload the .xlsx to Google Drive and open it with Google Sheets — the time arithmetic and the weekly total carry over. It works in LibreOffice Calc too.
