What's in this template

A fortnight that still counts in weeks

Two labelled weeks

Week 1 and Week 2 as separate blocks of seven days, so the sheet matches both the pay cycle and the roster.

A subtotal per week

Each week totals on its own line before the fortnight total. The weekly figure is the one entitlements are usually measured against.

Unpaid meal break deducted

Pre-filled at 30 minutes per day. Paid 10-minute rest breaks are working time and stay in paid hours.

Decimal hours

Times in, decimals out — the format payroll needs, calculated per day, per week and per fortnight.

Sign-off lines

One approval per fortnight, which is the natural moment because it is also when payroll runs.

Hours per day and per pay period

Both are what the Employment Relations Act 2000 wage and time record asks for, and this sheet carries both.

Why the weeks stay separate

A fortnight total alone hides the shape of the fortnight. Two 40-hour weeks and a 30/50 split both total 80, and they are not the same thing — for fatigue, for agreed hours, and for any overtime term in the employment agreement.

79 hours over a fortnight looks unremarkable. Week 2 at 47 hours with two 11.5-hour days does not, and only the weekly subtotals show it. Section 11B of the Minimum Wage Act 1983 requires the employment agreement to fix maximum weekly hours at not more than 40 excluding overtime, unless both parties agree to more — so what the agreement says, and what the record shows, is what governs.

How to fill in the fortnightly timesheet

Four steps, once a fortnight

1. Set the header

Employee name and the Monday the fortnight starts on. One sheet per person per fortnight.

2. Fill week 1, then week 2

Actual start and finish times. Each week subtotals on its own line as you go.

3. Adjust the meal break

30 minutes is the default. Set it to 0 on a short shift where no meal break was taken or owed.

4. Approve before payroll

Employee confirms, manager signs, then the fortnight total goes to Xero or Smartly.

The weekly subtotals and the fortnight total are formulas. Type into the white cells only.

Fortnightly timesheet FAQ

  • Two blocks of seven day rows, each ending in a SUM of its own week, then a final row adding the two subtotals. The trap is writing one 14-row SUM and calling it done — you lose the weekly figure, which is the one that matters for agreed hours and for most overtime terms. This template keeps both.

  • Yes. There is no legally required pay frequency in New Zealand — it is a matter for the employment agreement. Weekly is the most common cycle, used by around two thirds of employers, with fortnightly second at roughly a fifth. What is fixed is that the wage and time record must show hours worked each day and each pay period, which is why this sheet totals both.

  • In practice yes. Break entitlements run by hours in a shift, but agreed hours, availability provisions and most contractual overtime terms are framed weekly. A fortnight total alone cannot tell you whether one of the two weeks ran long.

  • Yes. Upload the .xlsx to Google Drive and open it with Google Sheets — both weekly subtotals and the fortnight total carry over. It works in LibreOffice Calc too.
