Best rota software for UK businesses

Every rota tool will draw you a grid. The differences that matter are what happens around it — whether it checks the Working Time Regulations as you build, whether it can produce a 52-week average for holiday pay, and whether the hours reach payroll without being retyped. This guide is the framework we would use, plus an honest look at the main options.

What UK rota software actually has to do

Four legal jobs sit behind a UK rota. None of them are visible on the grid, and all four are things a spreadsheet will let you get wrong without complaint.

The 48-hour average week

Under the Working Time Regulations 1998 average weekly working time is limited to 48 hours over a 17-week reference period unless the worker has opted out in writing. Averaging is the hard part: a single busy week is fine, a pattern of them is not, and you need the reference period calculated rather than eyeballed.

Rest breaks and daily rest

A worker is entitled to 11 consecutive hours of rest in each 24-hour period, an uninterrupted 20-minute break when the working day is longer than six hours, and a weekly rest period. Close-then-open shifts are where daily rest quietly disappears.

National Minimum and Living Wage

Rates are age-banded and change every April, and the risk is not usually the headline rate — it is a rate that was correct last year, an apprentice who has aged into a new band, or unpaid time that drags the effective hourly rate below the minimum.

Holiday entitlement and holiday pay

Statutory holiday is 5.6 weeks. For staff on variable hours, holiday pay is based on average earnings over a 52-week reference period, which is close to impossible to reconstruct from paper timesheets a year later.

Is free rota software enough?

Often, for a while. A free tier or a spreadsheet is a reasonable answer for a small team on stable shifts. The question is not whether free works — it is which of these you need, because free options generally stop at the first column.

Hospitality rota software

Hospitality is the hardest case, because the rota changes after it is published and the margin is thin enough that an extra body on a quiet Tuesday matters. Three capabilities do most of the work:

  • Open shifts staff can claim. Filling a 6pm gap at 4pm is a phone problem, not a spreadsheet problem.
  • Live labour cost as you build. Seeing the wage cost of the rota against expected covers, before you publish, is where the money is saved.
  • Premiums applied correctly. Unsocial hours, overtime thresholds and split shifts need to be priced by rule rather than by memory — see pay rule compliance.

What your staff need from it

This gets skipped in most buying decisions and then determines whether the tool actually saves anyone time. If staff cannot answer "when am I working?" themselves, every question comes back to a manager and the admin saving never materialises.

Their rota on their phone

Without a login they need to be reminded of, and visible offline on the way to work.

Swaps and availability

Requested in the app and approved by a manager, rather than negotiated in a group chat.

Holiday requests

Submitted and tracked in the same place as the rota, so a booked holiday cannot be rostered over.

Their own hours

What they clocked and what it should pay, so a payslip query is a conversation rather than a dispute.

Does it flag insufficient daily rest between shifts? The 11-hour rest period is broken by close-then-open patterns, which look fine on a grid.
Are staff on age-banded NMW rates handled automatically? A worker crossing an age band mid-year is a common source of underpayment.
Can it produce a 52-week average for holiday pay? Variable-hours holiday pay depends on it, and it cannot be reconstructed later.
Do the hours reach payroll without retyping? Manual re-entry is where most pay errors are introduced.
Is the staff app genuinely free for employees? Per-user charges for staff access change the total cost significantly.
How are rota changes communicated? A published rota nobody was told about is the most common source of no-shows.
Can you export your own data if you leave? Your rota and timesheet history is the record you may need years later.

Common questions from UK businesses choosing rota software

  • There is no single best tool — the right one depends on how many sites you run, whether you need time capture as well as a rota, and how the hours have to reach payroll. For a small single-site team a simple rota grid may be enough. Once you need clocked hours, holiday tracking and a payroll export in the same place, a combined rota and time-and-attendance product saves more. Use the buyer's checklist above against your own shortlist rather than a generic ranking, and confirm current pricing with each vendor directly.
  • Nothing — they are the same category under two names. "Rota" is the usual word in the UK and Ireland, "roster" or "rostering" in Australia and New Zealand, and "scheduling" in the US. If you are comparing tools across those markets you will see all three describing the same thing.
  • Most tools price per employee per month, often with a discount for annual billing and sometimes a minimum number of seats. The figure to compare is not the headline rate but the total: whether staff logins are charged, whether time and attendance is included or an add-on, and whether payroll export costs extra. Ask each vendor for a total at your real headcount, and check what happens in a month when you take on extra seasonal staff.
  • It usually pays for itself on two things rather than the rota itself: the time not spent answering "when am I working?", and the pay errors not made. If you have more than a handful of staff on variable shifts, the holiday-pay reference period alone is a strong argument, because averaging 52 weeks of variable earnings by hand is slow and easy to get wrong.
